Position: Accounts Payable/ Accounting Specialist

Function: Manage and perform general accounting, accounts payable, and payroll responsibilities.

Reports to: Controller

The Accounts Payable/Accounting Specialist reports directly to the Controller and works as part of a team that is managed by the Vice President for Finance and Administration. The Accounts Payable/ Accounting Specialist is responsible for applying accounting principles and procedures throughout the Foundation’s accounting cycle. The Accounts Payable/ Accounting Specialist will be responsible for the accounts payables process, general ledger entries including monthly accruals, and the maintenance/ preparation of accounting schedules and associated journal entries. This position will also assist the Controller in the yearly Financial Statement preparation and the creation of various ad-hoc reports in Excel as well as performing other such duties as assigned.

Accounting/ Accounts Payable:

  • Work with Sage 300 accounting system.
  • Authorize and prepare all accounts payables using the Sage 300 system for general ledger.
  • Insure proper general ledger coding on all payables and Foundation credit cards.
  • Prepare and reconcile all bank accounts.
  • Review, adjust and prepare journal entries for bank accounts and general ledger.
  • Prepare 1099’s for vendors and service providers, through Sage 300.
  • Manage Foundation vendor relationships.
  • Coordinate all service providers and technology support.
  • Maintain filing system for all contracts, leases and accounts payable files.
  • Assist Controller during annual financial audit and tax return preparation.

Payroll:

  • Perform all human resource functions and maintain personnel files.
  • Coordinate new employee onboarding process.
  • Manage Foundation employee benefit programs.
  • Assist Controller with retirement plan contributions and testing.
  • Prepare bi-monthly payroll for submission.
  • Monitor and review quarterly and annual filings of all IRS, State and Local reporting requirements, including W-2’s.

Other:

  • Manage Foundation office furniture and equipment.
  • Other Foundation office management responsibilities.
  • Attend conferences and meetings offsite to further education.
  • Attend special events and civic outings as a representative of the Foundation.

Qualifications:

  • Bachelor’s Degree or equivalent work experience
  • Detail orientated
  • Microsoft Office and Excel Skills
  • 2 years of Accounts Payable experience
  • Experience with SAGE 300 or similar payable system
