Responsibilities:
Team Coordination
- Manage the calendar and meeting logistics for the Vice President, Talent & Culture, including preparation of materials.
- Serve as the primary project coordinator for the department, tracking timelines, deliverables, and meeting outcomes.
- Organize and support department meetings, retreats, and events, including scheduling, agenda development, note-taking, and follow-up.
- Monitor project timelines and advise the team on key dates, milestones, and planning needs.
- Review departmental objectives and workflows regularly, recommending process improvements to enhance efficiency.
- Support budget tracking and reconciliation, including:
- Managing credit card expense reports.
- Monitoring departmental budget allocations and expenditures.
- Coordinating contract and agreement tracking in partnership with Legal.
Talent & Culture Projects:
- Maintain employee records and manage document retention systems.
- Coordinate Retirement Plan Committee meetings, including preparation of materials and tracking follow-up actions.
- Collaborate with Internal Communications to develop and maintain intranet content.
- Provide administrative support across all Talent & Culture functions, including:
- Recruitment and selection
- Talent planning and development
- Performance management
- Onboarding and offboarding
- Payroll and benefits
- Special projects as assigned
General Administration:
- Manage shared Talent & Culture inboxes, ensuring timely and professional responses.
- Draft and proofread correspondence and manage department-wide contact lists.
- Process invoices and manage cost allocations.
- Maintain organized digital and physical filing systems in accordance with document retention policies.
- Perform other duties as assigned.

Qualifications:
- High school diploma or associate’s degree required; coursework in business communications, human resources, or office management preferred.
- Minimum of five years of executive-level administrative experience; prior HR or nonprofit experience a plus.
- Proficiency in Microsoft Office Suite, project management tools (e.g., Asana), and document management systems (e.g., Box).
- Familiarity with HRIS and payroll systems (e.g., ADP) or ability to learn quickly.
- Exceptional interpersonal, written, and verbal communication skills.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities with discretion and professionalism.
Benefits & Salary:
The Community Foundation for Southeast Michigan offers a robust total compensation package The targeted salary for those entering this role is $57,000 - $72,000. In addition to a competitive base salary, benefits include but aren’t limited to 20 days of vacation accrued monthly, 5 personal days, 11 holidays, 9 sick days accrued monthly, paid parental leave, and employer paid short/long term disability.
The Community Foundation also offers a pension retirement program after 1 year of service which contributes 10% of salary.
