Key Responsibilities
Database & CERVIS Management
• Serve as the primary administrator and subject matter resource for the CERVIS volunteer
management system
• Maintain accurate, up-to-date volunteer records, ensuring data integrity and consistency
• Manage event setup, registrations, and workflows within CERVIS
• Track volunteer participation, including hours, attendance, and engagement trends
• Review and process waivers and ensure proper documentation
• Generate reports to support planning, evaluation, and decision-making
• Troubleshoot system issues and support staff and volunteers in using the platform
Volunteer Coordination & Stewardship
• Coordinate volunteer scheduling and ensure alignment with project and event needs
• Support the execution of volunteer days and general day-of coordination
• Lead post-event follow-up communications, including thank-you messages and impact
updates
• Foster a positive and engaging experience for daily volunteers through consistent
communication and relationship-building
• Assist in developing strategies to improve volunteer retention and satisfaction
Event Preparation & Community Engagement
• Support planning and logistics for volunteer events, group build days, and special events
initiatives
• Assist with tabling events and community outreach activities to promote volunteer
opportunities
• Prepare materials, rosters, and communications for upcoming events
• Represent the organization at community events as needed
• Collaborate with internal teams to ensure events are well-coordinated and aligned with
organizational goals
Qualifications
• Experience with database or CRM systems (CERVIS preferred)
• Strong organizational skills and attention to detail
• Excellent interpersonal and communication skills
• Ability to manage multiple priorities in a fast-paced environment
• Comfortable engaging with diverse groups of volunteers and community members
• Proficiency in Microsoft Office365 /Google Workspace
Preferred Qualifications
• Experience in nonprofit, volunteer management, or community engagement
• Basic reporting and data analysis skills
• Experience supporting events or outreach initiatives
Physical & Other Requirements
• Ability to lift up to 25–50 lbs as needed for events or materials
• Willingness to work occasional evenings and weekends
• Ability to adapt to changing priorities
