Development and Database Manager 

Responsibilities and Duties

Donation Management and Reporting: 

  • Track and report on monetary donations, donor pledges, invoices, and payments. 
  • Track and report on non-monetary/in-kind donations. 
  • Accurately enter and maintain all donation data in the donor database. 
  • Generate timely acknowledgment letters and tax receipts (within one week) for both monetary and in-kind donors.

Project Coordination and Communication: 

  • Develop project plans to support initiatives across Fund Development, Volunteers, and Grants teams.
  • Coordinate outgoing messaging to ensure consistency across donor, volunteer, and grantor communications.
  • Oversee printing and mailing of donor, volunteer, and grantor correspondence, leveraging tools like a letter folder and printer. 
  • Liaise with the Communications team to align social media and campaign messaging. 
  • Facilitate website updates and special campaign form creation. 

Database Management and Data Analysis: 

  • Collect and aggregate data from Fund Development, Volunteers, and Grants teams for integration into unified platforms. 
  • Analyze donor, volunteer, and grant data to provide actionable insights and develop reports for leadership and team use. 
  • Research and recommend database enhancements to improve functionality and efficiency.
  • Train team members on database capabilities and provide ongoing support and troubleshooting.

Donor Stewardship and Campaign Management: 

  • Manage the Brilliant Builders monthly donor program, including database tracking, acknowledgment processes, and messaging integration. 
  • Assist with executing fundraising campaigns, such as Rocket Challenge, Back2School, and Giving Tuesday.

Content Creation and Writing: 

  • Draft funding proposals, impact reports, newsletters, and donor communications. 
  • Develop compelling "Brilliant Stories" to support donor engagement, grant writing, and campaigns.
  • Create presentations, spreadsheets, and documents as needed. 

Strategic Oversight and Workflow Management: 

  • Document and streamline processes across Fund Development, Volunteers, and Grants teams, updating the Stewardship Team Handbook. 
  • Oversee the integration and alignment of grant, volunteer, and donor interactions and communications. 
  • Collaborate on strategies to enhance team efficiency and cross-departmental alignment. 

Research and Technical Support: 

  • Conduct donor research, competitive analyses, and software evaluations. 
  • Provide technical support for CRM systems, including software training and troubleshooting. ● Ensure compliance with financial measures for third-party platform receivables. 
  • Conduct special research projects as needed, including donor research, competitive analysis, software evaluation, and workflow comparisons. 
  • Document processes and workflows across all three teams to create a Stewardship Team Handbook.
    • This includes: 
      • Tasks, workflows, roles, and responsibilities.
      • Best practices, policies, and style guides.
      • Ensuring continuity during staffing changes by providing clear guidance for redistributing responsibilities. 

Required Skills: 

  • Strong project management and organizational skills. 
  • Expertise in data aggregation, reporting, and CRM platforms (e.g., Salesforce). 
  • Excellent written and verbal communication skills. 
  • Ability to analyze trends and provide actionable insights. 
  • Proficiency in process documentation and workflow development. 
  • Technical proficiency in database systems and ability to train users effectively. 
  • Familiarity with donor stewardship and fundraising principles. 

Qualifications 

  • Degree in a related field; experience with nonprofit fundraising preferred 
  • Experience with donor database management and data entry (Bloomerang preferred) 
  • Proficient with Google Drive (including Sheets, Docs, Slides) and Mailchimp 
  • Ability to create/analyze fundraising reports and research funders
  • Extremely detail-oriented and organized, with superior grammar and proofreading skills 
  • Excellent written and verbal communication skills 
  • Ability to multitask and prioritize 
  • Can work cooperatively with different personalities and individuals of diverse racial/economic/cultural backgrounds
  • This position may require evening and/or weekend work 
  • Local travel required, reliable transportation needed
