The brothers of the Capuchin Franciscan Province of St. Joseph, headquartered in Detroit, are a Catholic men’s religious order dedicated to ministry throughout the Midwest. Our work includes social services, education, chaplaincy, pastoral care, a retreat house, and parish ministry in Michigan, Illinois, Wisconsin, and Montana.
Position Overview
We are seeking a full-time Provincial Assistant to join our team in Detroit, MI. The Provincial Assistant provides direct administrative and secretarial support to the Provincial Minister. This position is responsible for managing confidential information, coordinating communications, and ensuring the efficient operation of the Provincialate. The Provincial Assistant will also support the Provincial Council (PC) and collaborate with other staff members to maintain effective organizational processes.

Essential Duties and Responsibilities
- Demonstrate, exemplify and support the Province of St. Joseph of the Capuchin Order mission, vision and values throughout all professional responsibilities and activities.
- Screen incoming calls and correspondence and respond or forward as appropriate, develop and prepare’ written correspondence when necessary.
- Perform non-routine secretarial and administrative duties of a sensitive and confidential nature.
- Prepare letters of Good Standing and Obedience for friars.
- Prepare reports as requested by the General Curia, Archdiocesan and Diocesan offices in the United States.
- Prepare obedience documentation and celebrets for friars who travel outside of the country.
- Organize and maintain Province and friar files.
- Maintain and order office supplies for the Provincialate.
- Maintain archival files for current provincial administration as well as prepare and organize files for transfer to the Provincial Archives.
- In coordination with the Secretary for Religious Affairs, prepare and distribute agenda with accompanying materials to members of the Provincial Council for PC meetings.
- Sort and distribute mail.
- Open mail for the Provincial Minister, determining the level of priority and ensure responses, if needed, are timely.
- Be available to assist with Province events and programs.
- Maintain regular contact with the Provincial Minister, particularly when he is travelling for extended periods.
- Keep Verification of Safeguarding Documents and Experiences checklist current for all friars.
- Coordinate hospitality for Provincial Council meetings held in Detroit.
- Comply with Province and ministry policies, procedures, guidelines and standards.
Qualifications
- Associates degree in business or related field.
- Minimum 4 years administrative assistant support experience with Provincial Minister or similar position, or combination of education and experience
- Protecting God’s Children training or ability to complete within 30 days of hire.
- Knowledge of provincial operations and procedures preferred.
- Basic understanding of Roman Catholic traditions, religious life, and the organizational structures and offices in the Roman Catholic Church.
- Ability to be welcoming and professional, maintain confidentiality and travel locally.
- Effective communication, problem solving, interpersonal and organizational skills.
- Effective Microsoft Office skills.
- Able to lift and move up to 20 pounds.
- Able to work general office hours (e.g., 9:00 AM to 5:00 PM) but may be called to work some evenings and weekends.
- Ability to commit to personal and professional development through active participation in relevant workshops, courses, programs and other learning opportunities offered by the Province or other entities.
