The Administrative Program Coordinator serves as a strategic administrative partner to the Director of Programs while also supporting the coordination and execution of the Keepers Program. This role is ideal for a highly organized, proactive professional who thrives in fast-paced environments, anticipates leadership needs, and ensures operational excellence across calendars, communications, systems, and program workflows.
This position requires discretion, initiative, and strong follow-through, balancing executive-level administrative support with program coordination responsibilities that directly impact youth, staff, and community partners.
Key Responsibilities
Administrative Assistant Support (Primary Focus)
- Serve as the primary administrative support to the Director of Programs.
- Manage complex calendars, scheduling, and meeting logistics, including internal, external, and community-based meetings.
- Draft, edit, and manage correspondence, emails, reports, and presentations.
- Act as a gatekeeper for communications, prioritizing requests, managing follow-ups, and ensuring timely responses.
- Prepare agendas, capture detailed meeting notes, track action items, and ensure completion.
- Coordinate travel, events, and executive logistics as needed.
- Maintain confidential files, records, and executive documentation with discretion and accuracy.
- Support leadership planning, reporting deadlines, and cross-department coordination.
Program Coordination Support (Secondary Focus)
- Assist with planning, scheduling, and logistics for Keepers Program activities, workshops, and events.
- Track participant engagement, attendance, referrals, and outcomes using CRM/DreamSuites.
- Support Violence Interrupters and program staff with documentation, scheduling, and follow-up.
- Maintain organized program files, forms, and reports.
- Assist with weekly, monthly, and funder reporting requirements.
- Support coordination with school partners, vendors, and community collaborators.
Qualifications
Required
- Associate’s or Bachelor’s degree in Business Administration, Public Administration, Human Services, or a related field (or equivalent experience).
- 3+ years of experience as an Administrative Assistant, Administrative Coordinator, Program Coordinator, or similar role supporting senior leadership.
- Exceptional organizational, time-management, and multitasking skills.
- Strong written and verbal communication skills with professional executive presence.
- High level of discretion, confidentiality, and judgment.
- Proficiency in Google Workspace, Microsoft Office, and CRM/data systems.
- Ability to anticipate needs, prioritize competing demands, and operate independently.
Preferred
- Experience supporting leadership in nonprofit, CVI, education, or human services environments.
- Familiarity with Detroit communities, school systems, and community-based programming.
- Experience with program reporting, event coordination, or grant deliverables.
