Accounts Payable Specialist

Essential Duties and Responsibilities

  • Demonstrate, exemplify and support the Capuchin Charism and Provincial Mission, Vision and Values throughout all professional responsibilities and activities.
  • Receive, review, verify, code, and enter vendor invoices and expense reports into the accounting system with accuracy and timeliness.
  • Schedule and process payments; including checks, ACH, wire transfers, in accordance with established approval and control procedures.
  • Monitor available vendor discount opportunities and ensure timely payments to maximize cost savings.
  • Reconcile vendor statements, compare system reports to outstanding balances, and investigate and resolve discrepancies.
  • Respond to vendor inquiries, resolve payment issues, and maintain positive and professional vendor relationships.
  • Maintain organized and accurate historical financial records, including filing and documentation of accounts payable transactions.
  • Prepare and generate accounts payable reports and provide support during internal and external audits.
  • Comply with Province and ministry policies, procedures, guidelines and standards.

 

Qualifications

  • Associate degree in Accounting, Finance or related field.
  • 2 or more years of experience in accounts payable or related accounting role.
  • Effective communication, problem solving, interpersonal, organizational and Microsoft office skills.
  • Proficiency in accounts payable functions and working knowledge of Generally Accepted Accounting Principles (GAAP).
  • High level of attention to detail and commitment to accuracy.
  • Proficiency in QuickBooks accounting software and Microsoft Excel, including data entry and basic reporting functions.
  • Ability to be welcoming and professional, maintain confidentiality and travel locally.
  • Effective Microsoft Office Skills.
  • Able to lift and move at least 20 pounds.
  • Able to work a flexible schedule.
  • Ability to commit to personal and professional development through active participation in relevant workshops, courses, programs and other learning opportunities offered by the Province or other entities.
